 Summary Description:

The Event Manager, External Relations (Event Manager) will be responsible for managing CLINIC’s signature events, exhibiting for the organization, development/fundraising events and other events as needed. Position requires a high amount of coordination across the CLINIC organization and the ability to collaborate with senior management. The role requires strong logistical event experience, exceptional attention to detail and a passion for creating high quality events for attendees. The Event Manager must be able to effectively manage all aspects of event development, registration, marketing, facility logistics, and budgets.


Primary Responsibilities: 

Signature Events

  • Schedule and manage annual and regular events which CLINIC hosts alone, or co-hosts with partners, including, but not limited to:
    1. CLINIC Convening (annual event)
    2. Immigration Law & Policy Conference (annual, co-hosted with Migration Policy Institute and Georgetown University Law Center, hosting rotates each year)


  • Ensure that CLINIC and programs are represented at events where there is an exhibit or participation in programming
  1. Work with program staff to schedule CLINIC’s attendance at events
  2. Assist in the development of promotional materials and display supplies for exhibits

Development/Fundraising Event

  • Support scheduling and executing local, regional, and/or national fundraising events, including:
  1. “Friend Raiser” events
  2. Donor briefings
  3. Special events (i.e. gala, golf tournaments)
  4. Other fundraising events

Other Events

  • Schedule and execute other events for the Executive Director, as assigned


Secondary Responsibilities:

  • Exercise leadership and initiative in CLINIC’s event planning
  • Schedule activities on CLINIC’s Editorial Calendar
  • Coordinate logistical aspects for CLINIC staff speaking at in-person conferences as needed
  • Work with CLINIC staff to ensure facilities and arrangements support event goals
  • Monitor attendance and attrition dates, cancellation policies and ensure contracted services are executed
  • Conduct site, food and beverage, and meeting room selections
  • Develop, in collaboration with staff, digital marketing strategies for CLINIC conferences and external events
  • Act as primary contact for VIP speakers and other guest speakers, overseeing logistics or making travel arrangements as necessary
  • Develop and manage meeting budgets, billing and post-meeting reconciliation, final financial reports and cost analysis reports
  • Prepare and communicate written logistical specifications of the event/conference to the meeting venue or event consultant
  • Develop and implement conference-related forms and procedures to ensure appropriate information and authorizations are communicated/obtained in a thorough and timely manner
  • Stay abreast of developments in event planning and participate in relevant professional organizations and conferences to understand and, as appropriate, identify trends and recommend new approaches

Knowledge, Skills & Abilities:

  • BS/BA (or equivalent experience) in business management, meetings and events planning or related field
  • Minimum of three years of meeting and events planning experience, including budgeting, holding multiple, highly attended events  per year, or related experience in a non- profit, education, or membership organization, with a strong demonstrative ability to apply meeting planning and hospitality industry principles, methods and procedure.
  • Minimum of one year experience as a primary decision-maker for events, including negotiations and contract administration
  • Ability to maintain a high level of customer service to multiple groups and people of diverse backgrounds
  • Excellent verbal and written communication, with the ability to review, analyze, and synthesize information
  • Superb organizational skills, critical thinking skills and attention to detail
  • Ability to work self-sufficiently, meeting deadlines, managing multiple events simultaneously and leading projects within a fast-paced environment
  • Demonstrate exceptional judgment and initiative


Work Environment: 

  • This position may require extended periods of standing, sitting, as well as some repetitive movements, bending and repetitive lifting of significant weight

  • Occasional travel required for event site research, event execution (15-20% - when possible) and attendance at CLINIC’s board of director’s meetings and other special events
